Adding & Viewing Files (Documents)

Files that are associated with Atamis records are managed on a Documents Tab in the tabs of the records pages. The content of files that are uploaded (Word, PDF, etc.) are automatically indexed for use in the Global Search feature

 

Upload Files from Your PC / Network

To upload a File, from the appropriate Documents Tab, you can either:

  • Drag the file from another app and drop it into the Files area, or
  • Click Add Files then click Upload Files to select from your PC/Network

 

Link Existing Files to a Record

To link a File that has been previously uploaded, from the Documents Tab, click Add Files and use Search Files to locate the file on the Atamis system. Click Add. 

 

Previewing, Downloading and Updating Files

From the Documents Tab, click on a File name to display a preview of the document. 

  1. Click Download to download a local copy 
  2. Click Share to control who can access the File
  3. Click Public Link to make the document visible to anyone without logging in and create a URL
  4. Use the Menu dropdown arrow to view file details, upload a new version or delete a file. View File Details will display the number of views and downloads as well as access the full File Version History. 
  5. To close the preview, click on the x in the top right corner or click Escape on your keyboard.

Creating a public link makes the file non-secure and should not be used for sensitive files. 

 

Sharing Files

Sharing settings of a file will default to the users who can access the record which the file is linked to and therefore do not normally need to be modified. 

To change sharing settings from a file, click on Share from the File Preview Page. 

  1. Add additional users to share this file by searching for the user and designating them as a viewer or a collaborator. Viewers can only view the file, Collaborators can make changes to the file description and upload new versions. 
  2. From the Who Can Access adjust whether the relevant Supplier Portal User (displayed as Customer) should have access. 
  3. If required, create a Public Link for sharing outside of the system.
