Creating New Pipeline Records

This article provides an overview of how to create new records in the Pipeline app. 

Your organisation's system may differ from the examples shown in the help centre. Various elements such as fields, page layouts, labels and process flows may have been customised to fit your organisation's specific needs and workflows. This guide remains a valuable resource for navigation and understanding of the Atamis system. The core functionalities remain consistent so you can apply general principles and instructions provided here to your own customised environment. For clarity on the specifics of your particular setup, please contact your system's administrator or super user.

Pipeline Record Types

When creating a new pipeline record, there are four record types that you can choose from. Depending on your permissions, you may have access to create all or some of these record types in Pipeline.  

  1. Programme - Used to produce pipeline records that contain a collection of intended procurement actions over a defined period of time. This record allows you to allocate resources to specific actions or stages. 
  2. Pipeline Notice - Used to produce pipeline records that enable the user to publish and notify potential suppliers of their procurement activity over a defined period of time, which is typically 18 months. 
  3. Project - A standard pipeline record for recording specific pre-procurement activity before setting up the resulting tender project.
  4. Programme Template - Used to produce a template for a pipeline record that can be applied to any new records when setting them up using the New From Template option. These are helpful to ensure consistent set up of records if there is a specific process that end users follow each time and are typically created during implementation of Atamis and subsequently monitored by Super Users. 

 

How to Create a Pipeline Record

To create a new pipeline record there are two options:

  • Use the quick links on the Pipeline App homepagePipeline - Quicklinks.png
  • From the Pipeline tab click NewPipeline - Create New.png

When clicking New from the Pipeline tab, you will be presented with a screen to choose the correct record type as outlined above. Each Quick Link on the other hand, corresponds directly to a specific record type. 

You will be taken then to a details page to fill out the information related to the record being created.  The title at the top of page will highlight which record type you are creating. Fill out the related fields for the record, which can be edited later. Any required fields will be denoted with a red asterisk.

Click Save to create the pipeline record in the system.
